How to make a rent receipt in 3 steps

  1. Fill in the details

    Enter who paid, who received the money, the property address, the rental period and the amount. Pick your country first: it sets the currency, the paper size and how the amount is written in words.

  2. Choose a layout and check the preview

How to write the dates and work out the amount

Dates

  • Date received is the day the landlord actually got the money, not the day it was due.
  • Rental period is the first and last day the payment covers. Rent due on the 1st usually covers the 1st to the last day of the month, for example March 1 to March 31. Rent due on the 15th covers the 15th to the 14th of the next month.
  • Month names such as “March 1, 2026” cannot be misread, unlike 03/04/2026, which means March 4 in the US and 3 April in the UK.

Amounts

  • Put each charge on its own line, such as rent, parking or a security deposit. The total and the amount in words are worked out for you.
  • For a part month, divide the monthly rent by the number of days in that month, then multiply by the days the tenant stays. Example: $1,500 rent, moving in on March 21. March 21 to 31 is 11 days, so $1,500 ÷ 31 × 11 = $532.26.
  • For a part payment, subtract what was paid from what is due and enter the difference as the balance. Example: $1,200 due and $700 paid leaves $500 owed. Enter 0 to show “paid in full”.
  • Only include fees your lease and local law allow.

What a rent receipt should include

A rent receipt is written proof that a tenant paid. It helps both sides if there is ever a disagreement about what was paid and when.

  • Landlord name and contact details
  • Tenant name
  • Address of the rental property
  • Amount received, in figures and in words
  • Date the payment was received
  • Period the payment covers, for example March 1 to March 31
  • How it was paid: cash, check, bank transfer or other
  • A receipt number, so each receipt can be told apart

Landlord receipt laws: New York, Washington and California

Receipt rules are set by each state. These are plain-English summaries of three of them, checked against the statute text in October 2026.

New York – Real Property Law § 235-e

  • When rent for a home is paid in cash, or in any form other than the tenant's personal check, the landlord (or an agent authorized to collect rent) must give the tenant a written receipt.
  • The receipt must show the date, the amount, the premises and the period the payment covers, and the signature and title of the person receiving the rent.
  • If the rent is handed over in person, the receipt must be issued immediately. If it reaches the landlord indirectly, for example by mail, within 15 days.
  • A tenant can ask in writing for receipts for personal checks too. The landlord must keep a record of cash receipts for at least three years.

Washington – RCW 59.18.063

  • A landlord may refuse cash. If the landlord does accept cash, the landlord must provide a receipt for it.
  • For any other form of payment, the landlord must give a written receipt when the tenant asks for one.
  • The statute sets no deadline in days, so the safe habit is to hand over the receipt when you take the payment.

California – Civil Code § 1947.3

  • This section says a landlord must let the tenant pay by at least one method that is neither cash nor an electronic funds transfer, with limited exceptions. It does not itself mention receipts.
  • Even so, if rent is paid or collected in cash, a signed and dated receipt is the best proof for both sides.

Other states have their own rules: some require a receipt for cash, some only when the tenant asks, and some say nothing. Laws change, and this page is general information, not legal advice. Check your state's landlord-tenant law or ask a local professional.

Using rent receipts at tax time

Some states give renters a tax credit or refund that depends on the rent they paid. Examples are California's nonrefundable renter's credit and New York's real property tax credit (Form IT-214). Who qualifies, how much it is worth and the income limits differ by state and change over time, so read the official instructions for the year you are filing.

  • Even when a form does not ask you to attach proof, keep your rent receipts with your tax records. They show what you paid, to whom, and for which months if a tax agency asks.
  • Forms often ask for the landlord's name and address and the total rent paid in the year. A receipt for each month makes those numbers easy to add up.
  • A receipt only helps if it is accurate and signed. Never change a receipt after it was issued.

Is this rent receipt generator free?

Yes. It is free to use, needs no account or sign-up, and never adds a watermark or logo of ours to your receipt.

Are my details uploaded or stored on your servers?

No. Everything you type stays in your browser and is never sent to us. The form is saved automatically on your own device, so it is still there when you come back, for example next month. It is kept only in the browser you used: a different browser, a different device or a private window will not have it, and clearing your browser data removes it. Safari on iPhone and iPad can also delete saved site data after about a week without a visit. On a shared computer, press “Clear form” when you are done.

How do I save the rent receipt as a PDF?

Click “Print / Save PDF”. In the print window that opens, choose “Save as PDF” (or “Microsoft Print to PDF”) as the printer and save the file. On a phone or tablet, use the Print or Share option and pick Save as PDF.

Is a landlord required to give a rent receipt?

It depends on the state. In New York, Real Property Law § 235-e requires a written receipt for rent paid in cash or in any form other than the tenant's personal check, issued immediately when the rent is handed over in person. In Washington, RCW 59.18.063 requires a receipt for any cash the landlord accepts, and a written receipt for other payments if the tenant asks. Other states have their own rules, so check your state's landlord-tenant law. Giving a receipt for every payment is good practice everywhere.

What should a rent receipt include?

The names of the landlord and tenant, the rental property address, the amount paid, the date it was received, the rental period it covers, how it was paid, a receipt number, and the landlord's signature. This generator has a place for each of these.

Can I use a rent receipt for a renter's tax credit?

Rent receipts are useful records when you claim a renter's credit or refund, in states that offer one. Each state sets its own rules and forms, so check the official instructions. Keep every receipt with your tax records so you can show what you paid and for which months.

Can I change the title or the wording on the receipt?

Yes. Click any text on the page to edit it, including the title (for example change “RENT RECEIPT” to “PAYMENT RECEIPT”) and labels such as “Received from”. The form on the left shows the matching box, and the “Wording” section lists every label so you can change them there too. “Reset all wording” puts the standard text back. On a phone or tablet, tap the text to open its box in the form.

What layouts are available?

How is the amount written in words?

It follows your country. In the United States and Canada: “One thousand two hundred fifty dollars and fifty cents”. In the United Kingdom and Australia: “One thousand two hundred and fifty pounds and fifty pence”. The currency decides the words dollars, pounds or euros.

How is the receipt number chosen?

The first receipt is numbered SP-001. Type any number you like for the next ones, for example SP-002.

Can I sign the receipt electronically?

Yes. Draw your signature in the signature box and it appears on the receipt. If you prefer, leave the box empty and sign the printed copy by hand.

Should I choose US Letter or A4 paper?

Use US Letter in the United States and Canada, and A4 in the United Kingdom, Australia and most other countries. Picking your country sets this for you, and you can change it at any time.

Can I try it without typing everything?

Yes. Click “Load Sample Data” to fill the form with an example receipt, then change anything you like. “Clear Form” empties it again.

How do I download the receipt on my phone?

Click “Download PDF” and the file is saved to your phone. It is a picture of the receipt, so the text in it cannot be selected. On a computer, “Print / Save PDF” gives a text PDF that can be searched and copied.
